Ready for your review in 24–48 hours

SMSWednesday, 1:15 pm — updates on an HVAC repair the customer booked

Clientager: Hi Tom, it's the AI assistant for Comfort Air. The AC repair you booked is confirmed for today. Carlos, who is certified for your system, will arrive between 3:00 and 5:00 pm. Reply STOP to opt out of updates.

Customer: Great. Can he call when he's 20 min out? I'm working from the back office.

Clientager: Of course. I've added that note for Carlos, and I'll text you when he is on his way.

Clientager: Update: Carlos's previous job is taking longer than expected. His new arrival window is 4:00 to 5:30 pm. Does that still work, or would you prefer tomorrow morning?

Customer: Today still works.

Clientager: Thanks for your patience. Carlos is now on his way, about 25 minutes out, and he'll call you when he's 20 minutes away.

What Clientager did

Quick answer

What does AI service dispatch handle?

AI service dispatch covers the moment a job needs a technician. Clientager checks which technicians are available, have the right skills and are nearby, offers the job using your rules, confirms acceptance, and sends the customer an arrival window. It then keeps the customer updated with ETA changes and arrival notices, and escalates to your dispatcher when nobody accepts or something changes.

What gets missed today

Dispatch lives in one person's head

Your dispatcher knows who is where and who can do what. When they are off sick or swamped, jobs stall and mistakes happen.

The wrong technician goes out

A tech without the right certification or parts arrives, and the job needs a second visit. The customer pays the price in time and patience.

Phone chains slow everything down

Calling technicians one by one to find someone available wastes the minutes that matter most on urgent jobs.

Customers are left guessing

"Between 8 and 12" with no further word leads to anxious calls, missed arrivals and customers who are not home when the tech knocks.

What Clientager can handle for you

  • Match technician to job
  • Offer jobs to technicians
  • Confirm arrival windows
  • Send ETA updates
  • Handle delays and reassignments
  • Escalate unaccepted jobs
  • Notify on arrival

Enquiries it handles every day

  • “When will the technician arrive?”
  • “Can you tell him to call first?”
  • “Is it still happening today?”
  • “Can I get the same technician as last time?”
  • “Can you come earlier?”
  • “He hasn't arrived yet”

How it works

  1. 01

    Job is ready to dispatch

A job arrives from intake, your office or your field service tool, with the address, job type, urgency and any required skills.

  2. 02

    Shortlist technicians

The agent checks availability, skills, certifications, location or service zone and current workload, using your matching rules.

  3. 03

    Offer and confirm

It offers the job to the best match by text or app notification. If they decline or do not respond in time, it moves to the next person.

  4. 04

    Tell the customer

Once accepted, the customer receives the technician's first name, arrival window and what to prepare, by SMS or WhatsApp.

  5. 05

    Manage changes

If the technician is delayed, the agent updates the customer and offers options. If nobody accepts, your dispatcher is alerted.

Matching the job to the right technician

Good dispatch is a matching problem. The agent weighs what you tell it matters: required skills and certifications, the equipment brand, the service zone, current workload, travel distance and whether the customer asked for a specific technician before. For an HVAC company, that might mean only sending techs certified for a particular system. For a locksmith, it means the nearest available person who carries the right tools.

Your rules decide the order of priority, and your dispatcher can override any decision. The agent explains each assignment in the job record, such as "nearest certified tech, two jobs today", so the office can see why a choice was made. Over time, this consistency reduces repeat visits caused by the wrong person turning up without the skills or parts the job really needed.

Offering jobs and handling no-responses

Instead of a dispatcher phoning technicians one by one, the agent offers the job by text or app notification to the best match. Technicians accept or decline in a tap or a short reply. If there is no response within the time you set, it moves to the next person. For urgent jobs, it can offer to several qualified technicians at once and confirm the first to accept.

When nobody accepts, or a job falls outside the rules, your dispatcher or on-call manager gets an immediate alert with the job details and who was tried. The agent does not leave urgent work sitting quietly in a queue. For towing and locksmith calls involving danger, customers are told to contact emergency services first, before any dispatch steps begin, and your team is alerted straight away.

ETAs and updates customers can rely on

Customers mostly want to know who is coming and when. After assignment, Clientager sends the technician's first name, the arrival window and any preparation steps, such as clearing access to the unit or securing pets. When the technician sets off, an on-the-way message follows. If a job overruns, the customer is told early and offered options, rather than discovering the delay at the end of the window.

Updates go only to customers who agreed to receive them, with an easy opt-out. Every change is recorded, so the office can answer questions quickly. Our team configures your matching rules and messages, connects your field service tool where available, and has everything ready for review within 24–48 hours, so you can test real jobs before going live. Frequently asked questions

How does the agent decide which technician to send?

It follows matching rules you define with us, such as skills, certifications, service zone, distance, workload and customer preference. You set the priority order, and your dispatcher can always override a choice. Each assignment is recorded with the reason.

Do technicians need a special app?

Not necessarily. Jobs can be offered by SMS, WhatsApp or through your existing field service app where a connection is available. Technicians accept or decline with a short reply. We confirm the best method for your team during setup.

What happens if no technician accepts the job?

After the response time you set, the agent alerts your dispatcher or on-call manager with the job details and a list of who was offered it. Urgent jobs can be offered to several qualified technicians at once to speed things up.

Can customers track the technician's arrival?

Customers receive the arrival window, an on-the-way message and updates when timing changes. Where your field service tool provides live tracking links, these can be shared. Updates go only to customers who agreed to receive them.

Is this different from Clientager's service jobs and dispatch solution?

Yes. The solution covers the whole job, from the first call and triage to completion and follow-up. This use case focuses on the dispatch moment itself: matching, offering, confirming and keeping customers informed until the technician arrives.

Can the agent reassign a job if a technician is delayed?

Within your rules, yes. It can tell the customer about the delay and offer a later window, or, if you allow it, offer the job to another qualified technician nearby. Larger reshuffles are left to your dispatcher, who gets a clear alert.
