Use case · AI Appointment Booking
AI appointment booking that feels like talking to your front desk
Customers say what they want in their own words, like "Tuesday after work, with Maria", and Clientager finds a real slot, confirms it and sends the details.
Ready for your review in 24–48 hours
Customer: Hi, need cleanings for me and my two kids. Any chance of the same afternoon, after school?
Clientager: Hi, this is the AI assistant for Maplewood Family Dental. I can look for back-to-back slots. School gets out around 3? Which days work best?
Customer: Out at 3:15. Wednesday or Thursday ideally.
Clientager: Thursday has three back-to-back cleanings at 3:45, 4:15 and 4:45 with our hygienists. Wednesday only has two slots after 3:30. Would Thursday work?
Customer: Thursday is perfect. Kids first please, they get antsy.
Clientager: Done. Kids at 3:45 and 4:15, you at 4:45, this Thursday. Could you text me the kids' first names and dates of birth for their records?
Customer: Lily, May 2 2016. Noah, Sept 14 2018.
Clientager: Thank you. All three are booked. I'll send a reminder Wednesday evening. Reply here if anything changes.
What Clientager did

Quick answer
Can an AI really book appointments for my customers?
Yes. With AI appointment booking, customers ask for a time in natural language by phone, WhatsApp, chat or text, and the AI agent checks your actual calendar, offers suitable slots and confirms the booking. Clientager understands requests like "sometime next week after 5", handles reschedules and cancellations, sends confirmations and reminders, and passes unusual requests to your team.

What gets missed today
Booking takes too many messages
"Do you have Tuesday?" "What time?" "After 5." "We have 5:30." "Can't do that." A simple booking becomes a long thread that staff have to manage.
Online widgets put people off
Some customers abandon booking pages that ask them to create an account or pick through dropdowns, especially on a phone.
Customers want to ask questions first
"How long does it take?" or "Do I need to prepare?" are natural questions before booking. A widget cannot answer them.
Changes are a hassle
Rescheduling often means calling during business hours. Customers who cannot easily move a booking simply do not turn up.

Enquiries it handles every day
- “Do you have anything this week?”

How it works
- 01
Customer asks in their own words
"Can I get in Thursday morning?" or "Something next week, any evening." The agent understands relative dates, time windows and preferences.
- 02
Clarify only what's needed
It asks only the questions that affect the booking, such as which service, which staff member or how many people.
- 03
Offer two or three real options
It checks your calendar and offers a short list of slots that fit, rather than reading out the whole day.
- 04
Confirm clearly
It repeats the service, date, time and location, then sends a confirmation by text, WhatsApp or email.
- 05
Make changes easy
Customers reply to the confirmation to move or cancel. The agent rebooks within your policy and frees the slot for someone else.
Understanding requests the way people actually make them
Customers rarely ask for "Thursday at 14:30". They say "after school", "before work", "sometime next week" or "whenever Maria is in". Clientager understands these requests, checks your real calendar, and offers a short list of slots that fit. If the request is vague, it asks one useful question instead of a list of them, keeping the exchange quick and friendly on every channel.
It also handles the questions people ask before committing, such as how long a service takes, how much it costs, where to park or whether they need to prepare. Answers come from the information you approve. When a question needs a professional's judgment, for example in a medical or legal setting, the agent books a consultation or passes the question to your team.
Group bookings, specific staff and changes of plan
Real bookings are messy. A parent wants appointments for three children in a row. A couple wants side-by-side treatments. A regular client only sees one stylist. The agent handles these cases using your rules, looking for consecutive slots, matching staff and checking resources, and explains clearly when something is not possible, offering the closest alternatives instead of leaving the customer stuck.
When plans change, customers just reply to their confirmation. The agent moves or cancels the booking within your notice policy, explains any fees you have set, and offers the freed time to others where you use a waitlist. Every change is recorded, so your team sees the current schedule and the history without making a single phone call. Customers get an updated confirmation for every change.
Choosing the booking channel your customers prefer
Some customers call. Some prefer texting. Others message on WhatsApp or use your website chat. Clientager offers the same booking experience on all of them, with confirmations sent on the channel the customer used. You can start with the channel that brings the most booking requests, often the phone, and add others once you are happy with how bookings are handled.
Our team connects your calendar or booking system where available, configures services and rules, and tests real booking scenarios with you. The agent is usually ready for your review within 24–48 hours and goes live only after you approve it. Plans start at $39 per month with setup included; see our pricing page, and note prices may vary by region.
Frequently asked questions
Can customers book by text message, not just by phone?
Yes. Clientager handles bookings by phone, SMS, WhatsApp, website chat and email. The conversation works the same way on each channel, and confirmations and reminders go out on the channel the customer used, unless they ask for another.
How does it avoid double-booking?
The agent checks your connected calendar or booking system before offering a slot and books into it directly where a connection is available. Connection availability is confirmed during setup. If your system cannot be connected, we agree a confirmation process with your team instead.
Can it book several people in one conversation?
Yes. It can find consecutive or parallel slots for families, couples or small groups, following your rules on staff and rooms. Larger groups or events can be passed to your team with all the details collected.
What if a customer asks for a time that isn't available?
The agent explains that the slot is taken and offers the closest alternatives, such as the same time on another day or another staff member. Where you run a waitlist, it can add the customer and contact them if a slot opens.
Can I control how far ahead customers can book?
Yes. You set booking windows, minimum notice, buffers between appointments, cancellation policies and any services that need staff approval. The agent follows those rules every time and tells customers about relevant policies when they book.
Is the booking assistant ready straight away?
Not instantly, by design. Our team configures your services, calendar and rules, then tests the agent. It is usually ready for your review within 24–48 hours, and you approve it before customers can book through it.
