How does AI call routing work?

AI call routing replaces phone menus with a short conversation. Clientager asks the caller what they need, understands the answer, and routes the call to the right person, department or location based on your rules, such as topic, urgency, language, account or opening hours. A conversation instead of a phone tree

Warm transfers that keep the context

The most frustrating part of a transfer is repeating yourself. Before connecting the call, Clientager passes a short summary to the recipient, for example by whisper, text or screen notification depending on your phone setup, so they can greet the caller already knowing the reason. Each call is logged against the customer record with the routing decision and outcome, which also shows you where calls are going and which teams are busiest.

Many calls do not need a transfer at all. Opening hours, directions, appointment changes, document requests and status checks can often be handled directly by the agent from your information and systems. Your staff receive fewer calls overall, and the calls they do receive are the ones that genuinely need them. Callers get answers faster, too, because they are not waiting for a transfer to a person just to ask a simple question.

Urgency, fallbacks and getting set up

Urgent calls can jump the queue. You define what counts as urgent, such as a medical emergency at a clinic or a client in custody for a law firm, and the agent routes those straight to the designated person or on-call number. For danger to life, callers are told to contact emergency services first. When nobody picks up, the agent tries a backup, takes a detailed message or books a callback.

Frequently asked questions

Can AI call routing work with our current phone system?

In most cases. Depending on your provider, we use call forwarding, a SIP connection or another supported route, and transfers go to your existing extensions or numbers. Compatibility with your specific system is confirmed during setup before anything changes for callers.

What happens if the caller's request is unclear?

The agent asks a short follow-up question, such as whether the call is about an existing order or a new purchase. If it is still unclear, it routes to a general contact you choose, with a note explaining what the caller said.

Can it route calls to different locations?

Yes. It can route by the caller's chosen location, their usual location from your records, or the location closest to them. Each location can have its own hours, staff and fallback rules, and the caller is told which location they are being connected to.

Will staff know who is calling before they answer?

Depending on your phone setup, the agent can pass a summary by whisper message, text, chat or screen notification before connecting. At minimum, the call and summary are logged in the customer record for the staff member to see.

Can certain callers be routed to specific people?

Yes. Existing clients can be routed to their assigned account manager, attorney or agent, and VIP or priority callers can be given different rules. If that person is unavailable, the agent follows your fallback, such as a colleague or a message.

Does AI call routing replace our receptionist?

Not necessarily. Many businesses use it so the receptionist is not stuck transferring calls all day. The agent handles routing and simple requests, and the receptionist focuses on visitors and calls that need a personal touch.
